Hall Closings and Check Out Procedures

Students will receive emails from Housing Operations with details of each fall and spring semester's ending policies and procedures 1 to 2 months prior to the end of the term. Students should follow the directions provided in those emails, as they will always provide the most up to date and detailed information.

Fall Semester Hall Closing

Students must vacate the residence halls for the winter break by the date and time noted in the Housing Agreement and the Guide to Residential Living. Those residents that are not returning to housing for the spring term must be checked out by this time, or must have applied for winter housing, or requested an extension. Reasonable extensions can be granted for a range or reasons, including but not limited to having applied for winter break housing, academic commitments that extend beyond the closing date, or significant travel complications or delays. Students requesting a extension should complete the late check out request form (via MyHousing). Residents with additional questions should email housing@pace,edu.

Spring Semester Hall Closing

Students must vacate the residence halls at the end of the spring term by the date and time noted in the Housing Agreement and the Guide to Residential Living. Those residents that are not returning to housing for the spring term must be checked out by this time, or must have applied for winter housing, or requested an extension. Reasonable extensions can be granted for a range or reasons, including but not limited to having applied for summer housing, participation in commencement, academic commitments that extend beyond the closing date, or significant travel complications or delays. Students requesting a extension should complete the late check out request form (via MyHousing). Residents with additional questions should email housing@pace,edu.

Check-Out Procedures

Check-Out Process For Those Moving Out Of (and not returning to) Their Housing Assignment.

Before you check-out:

  • If moving out before the end of the semester, or at the end of the fall semester (not returning for spring), be sure to complete a cancellation form (through MyHousing).
  • Your room, suite and/or house must be clean and appear as it was when you checked-in. This includes
    • Close and lock all windows
    • Throw out all garbage
    • Remove all personal items from the room- any items left behind will be discarded
    • Defrost and clean any rental micro-fridge units 24 hours before check-out

Please be sure to follow all of these steps. Failure to complete any of the above tasks may result in a $75.00 improper check-out fine (and late submissions of the cancelation form may result in increased late check out fines).

If moving out Mid-semester:

  • During the academic year, once a cancellation form is submitted, a MOVE OUT CONFIRMATION form will appear on your MyHousing account (under applications and forms). Students will not be considered 鈥渃hecked out鈥 until they have completed this form.
  • This short form, which should be completed after completing the move out process, will require students to affirm that they have completely moved out, that they have returned any necessary items, and that they have either removed all personal items (or that any remaining items left behind may be discarded).
  • Only upon submission of this form will a student be considered 鈥渕oved out鈥, and all cancellation fees will be based on the date that this form is submitted.

If using the Express Check-Out Option

  • Fill out the Express Check-Out Envelope which can be picked up from the RA Office.
  • Agree to the following:
    • I am voluntarily participating in the Express Check Check-Outs instead of checking out in person with a Residential Life and Housing staff member;
    • I will follow all instructions for checking out of the Residence Halls as stated by the Office of Residential Life and Housing;
    • Residential Life and Housing staff will conduct an inspection of my room /suite/ house after the halls have closed and assess damage;
    • I acknowledge that I am responsible for ANY damages or cleaning charges that are found during the inspection and understand that I may be billed for the damages;
    • Even if you have misplaced your key, you will still need to sign and hand-in an express check-out envelope;
    • I acknowledge that if I do not complete this form or check out with a Residential Life and Housing staff member, I will be charged $75 for an ImpropCheck-OutOut.
  • Drop the Express Check-out envelope off in the designated drop boxes upon leaving the community- leaving the envelope with the key in the envelope.
